AI receptionists for UK businesses and clinics: what they do, per-minute platform prices, custom build costs, UK GDPR, call recording and clinic rules.
Short answer. An AI receptionist is a voice AI agent that answers calls, handles common requests, books appointments and hands over to a person when it should. You can buy one as a platform, paid per minute (for example Retell AI lists $0.07–$0.31 a minute, Bland $0.12–$0.14, plus telephony and plan fees), or build one around your own systems: at Magora a voice agent for one workflow starts from £20,000, after a free prototype. In the UK, tell callers they are speaking to an AI, have a lawful basis for recording and transcription, and keep clinical triage away from the bot unless you have taken regulatory advice.
This guide is for owners of clinics, practices, service businesses and contact centres considering an AI receptionist. It explains what the technology does well and badly, what it costs, the UK rules that apply and when a custom build pays off.

What an AI receptionist does
An AI receptionist joins four components: speech recognition to turn the caller's voice into text, a language model to understand and decide, a synthetic voice to reply, and tools that connect to your calendar, CRM or practice management system. Done well, it can:
- answer the phone at any hour and in busy periods, without a queue;
- answer common questions: opening hours, prices, location, preparation for an appointment;
- book, move or cancel appointments in your system;
- take a structured message and route urgent calls to the right person;
- send a confirmation by SMS or email after the call.
Where it struggles: callers who are upset or vulnerable, strong accents on poor lines, complex or unusual requests, and anything that needs judgement. A good setup hands those calls to a person quickly, with a summary.
What it costs
| Option | How you pay | Published price |
|---|---|---|
| Vapi (developer platform) | Per minute plus model and telephony costs | $0.05 a minute hosting, plus pass-through model, speech and telephony costs |
| Retell AI | Per minute, pay as you go | $0.07–$0.31 a minute; example $0.11 a minute |
| Bland | Per minute, plus plan fee | $0.14 a minute, or $0.12 with a $299 monthly plan; telephony extra |
| Custom AI receptionist from Magora | Fixed price, then support | Free prototype; Discovery from £3,000; one workflow from £20,000; support from £1,000 a month |

Per-minute pricing is cheap to start and grows with call volume. At high volumes, or when the receptionist must work deeply with your own systems, owning the software can be cheaper over time. Compare the total over two or three years, as we explain in off-the-shelf vs bespoke software.
The UK rules that apply
| Topic | What it means for an AI receptionist |
|---|---|
| Transparency (UK GDPR) | Processing must be fair and transparent from the start. We found no UK law that specifically requires AI disclosure on calls, but telling callers they are speaking to an AI is the safe default and avoids misleading them. |
| Call recording and transcription | Identify and document a lawful basis, tell callers that calls are recorded and why, and state it in your privacy information. The ICO's example of recording helpline calls for training uses legitimate interests. |
| The AI provider | It processes personal data on your behalf, so you need a processor contract, and safeguards if data leaves the UK. |
| Health information | Special category data under UK GDPR. Clinics providing care can rely on the health and social care condition, but the security bar is higher. |
| Outbound calls (PECR) | Automated calls playing recorded or synthetic speech for marketing need the person's prior, specific consent. Inbound answering is not marketing; outbound promotional campaigns are. |
| EU callers (EU AI Act) | Since 2 August 2026, AI systems that interact with people must make clear they are AI, unless it is obvious. Relevant if you serve callers in the EU. |

Extra care for clinics and healthcare
For a clinic, the line that matters is between administration and clinical judgement:
- Administrative: booking, rescheduling, directions, prices, preparation instructions, taking a message. Suitable for an AI receptionist.
- Clinical: assessing symptoms, deciding urgency, advising on treatment. Software with a medical purpose can be a medical device under MHRA rules, and health IT used in direct care falls under the NHS clinical safety standard DCB0129. See our DCB0129 guide.
A sensible design: the AI handles administration, recognises red-flag words, and passes those calls straight to a person or tells the caller to contact NHS 111 or 999, as your clinical team decides. Keep a record of how that rule was set and tested.
Buy or build?
| Buy a platform when | Build a custom receptionist when |
|---|---|
| Calls are mostly standard questions and bookings | Calls must read and write to your own systems or several systems |
| Your booking or practice system has a ready integration | Your rules are complex: eligibility, pricing, multi-site routing |
| Call volume is modest | Call volume makes per-minute fees larger than owning the system |
| You are happy with the provider's data handling and hosting | You need control of data location, logs and retention, for example for health data |
We build AI assistants, automation and machine-learning features into real products, from proof of concept to production. First release in 6–8 weeks; developers from £49/hour.
How we build a custom AI receptionist
- Free working prototype on your real call types in 5–10 working days.
- Discovery, two weeks from £3,000: call flows, integrations, escalation rules, data protection review and a fixed estimate.
- Build and integrate, typically 6–8 weeks: speech, model, voice, connections to your calendar or CRM, audit log and monitoring.
- Supervised pilot of two to three weeks: your team reviews calls and corrects the agent before it takes all traffic.
Our real-time voice work includes Empath AI, which analyses calls and gives live guidance to call-centre agents inside Microsoft Teams. More on agents in AI agent vs chatbot vs automation and on budgets in AI development cost in the UK.

Frequently asked questions
What is an AI receptionist?
A voice AI agent that answers phone calls, understands what the caller wants, answers questions, books or changes appointments and passes the call to a person when needed. It combines speech recognition, a language model, a synthetic voice and connections to your calendar or CRM.
How much does an AI receptionist cost in the UK?
Off-the-shelf voice AI platforms charge per minute; for example Retell AI lists $0.07–$0.31 a minute and Bland $0.12–$0.14 a minute on their pricing pages, with telephony and plan fees on top. A custom AI receptionist integrated with your systems starts from £20,000 at Magora as an AI agent for one workflow.
Do I have to tell callers they are speaking to an AI?
We found no UK statute that specifically requires it, but UK GDPR requires processing to be fair and transparent, and misleading callers can raise consumer-law issues. If you serve callers in the EU, the EU AI Act's transparency rule for AI systems that interact with people applies from 2 August 2026. Telling callers is the safe default.
Can an AI receptionist record and transcribe calls?
Yes, with a lawful basis under UK GDPR, clear information to callers that calls are recorded and why, and a contract with the AI provider as your processor. Health information needs an Article 9 condition as well.
Can an AI receptionist triage patients?
Booking and routing calls is administrative. Assessing symptoms or urgency is likely to have a medical purpose, which can make the software a medical device under MHRA rules and brings NHS clinical safety standard DCB0129 into play for health IT. Keep clinical decisions with clinicians unless you have taken regulatory advice.
Should I buy an AI receptionist platform or build one?
Buy if a platform covers your calls and connects to your booking system. Build when calls must read and write to your own systems, follow complex rules, handle sensitive data under your control, or when per-minute fees at your volume cost more than owning the system.
